Safety & Vetting

The part we take most seriously

You are handing us your child at an event where you'll be distracted. Everything below exists because that deserves more than reassurance — it deserves process.

The short version

Four things we never compromise on

The detail is below, but if you only read one section, read this one.

  • Dual-layer screening

Criminal record check plus a vulnerable-sector check for every caregiver, with verified references.

  • CPR & First Aid certified

All staff hold current CPR/AED and Standard First Aid certification. No exceptions, no lapses.

  • $4M liability insured

Commercial general liability plus professional childcare liability. Certificates sent to your venue on request.

  • Cloud check-in

Tamper-evident wristbands linked to digital profiles: allergies, medications, and authorized pickup only.

Caregiver screening

Six stages before anyone works an event

No caregiver reaches your venue without clearing all six. There is no expedited path.

  1. Application & references

Every applicant provides documented childcare experience and professional references, which we contact directly — not just collect.

  2. Criminal record check

A standard criminal record check through an accredited Canadian screening provider.

  3. Vulnerable-sector check

The enhanced police check required in Ontario for work with children. This is the screening that surfaces offences specifically relevant to child safety.

  4. Certification verification

We verify current CPR/AED and Standard First Aid certification, and track expiry dates so nothing quietly lapses.

  5. In-person interview & trial

A structured interview covering scenario judgement, then a supervised trial event alongside a senior caregiver before working independently.

  6. Ongoing review

Screening is re-run periodically, and every caregiver is reviewed after events. Care standards are a floor, not a one-time gate.

Supervision ratios

How many caregivers your children get

Ratios are set by age band and are not negotiable downward — if more children arrive than booked, we bring more staff or we cap the room.

  • 1:2

    Infants

    0–2 years

1 caregiver for every 2 children

  • 1:4

    Toddlers

    3–5 years

1 caregiver for every 4 children

  • 1:6

    School age

    6+ years

1 caregiver for every 6 children

Check-in & pickup

Knowing exactly who has your child

The highest-risk moments in event childcare are handover and pickup. Both are systematised.

Digital child profile

Created at booking: allergies, dietary needs, medications, medical conditions, comfort items, nap routine, and emergency contacts.

Tamper-evident wristband

Each child gets a wristband at check-in linked to their profile. It can't be removed and reapplied without visible damage.

Authorized pickup only

You name who may collect your child. We verify against the profile at pickup and ask for ID from anyone we don't recognise.

Live headcount

Caregivers run scheduled headcounts throughout the event, logged against the check-in roster.

Insurance & documentation

  • $4 million commercial general liability coverage.
  • Professional childcare liability coverage in addition to general liability.
  • Certificates of insurance sent directly to your venue or planner on request — many venues require this before an event.
  • A written service agreement covering scope, ratios, hours, and responsibilities.

Waivers, consent & privacy

  • A parental waiver and care authorisation is signed for every child before the event.
  • Photography is opt-in only, never a default. Declining changes nothing about your child's care.
  • Child profiles are treated as sensitive personal information under Canadian privacy law (PIPEDA), retained only as long as needed, and never sold or shared for marketing.
  • Medication is administered only with written parental instruction.

A note on emergencies. Every event has a designated lead caregiver responsible for emergency response, a stocked first-aid kit on site, and the venue's emergency exits reviewed before guests arrive. Parents are contacted immediately for anything beyond a minor scrape, and we will always err toward telling you.

Questions we haven't answered here?

Ask us anything about screening, ratios, insurance, or how we'd handle a specific situation at your venue. We'd rather over-explain than have you wondering.
