Privacy Policy

Who we are
There For You provides on-site childcare at events in Ottawa and the National Capital Region. In this policy, “we” and “us” mean There For You, and “you” means anyone who contacts us, books our services, or uses this website.
We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.
What we collect
When you enquire
- Your name, email address, and phone number
- Your event details: type, date, venue, hours, and expected number of children
- The ages of the children attending, in age bands
- How you heard about us, and any referring venue or planner
- Anything else you choose to tell us in the message field
When you book
To care for a child safely we need more detail, collected in a profile for each child:
- The child's name, age, and date of birth
- Allergies, dietary requirements, and medical conditions
- Medications, with written administration instructions where applicable
- Emergency contacts and authorised pickup persons
- Comfort preferences, such as nap routine or a comfort item
- Your photography consent choice
Children's information is sensitive information and we treat it that way. It is collected from the parent or guardian, used only to provide care, and never used for marketing.
When you visit this website
This site is static and does not set advertising or tracking cookies. Our host, Netlify, records standard server request logs (including IP address) for security and reliability. We do not currently run third-party analytics; if we add any, we will update this policy first.
Why we collect it
- To reply to your enquiry and prepare a quote
- To provide childcare safely, including responding to allergies and emergencies
- To verify who is authorised to collect each child
- To meet our insurance, contractual, and legal obligations
- To credit a referring venue or planner where you've named one
We do not sell your personal information. We do not share it for anyone else's marketing.
Photography and media
Photography is opt-in only. It is never a condition of care, and declining changes nothing about the service your child receives. Consent is collected in writing, per child, before the event, and you can withdraw it at any time — including after the event, in which case we will stop using the images and delete them from our own materials.
Who we share it with
We share personal information only where necessary, and only with:
- Our caregivers assigned to your event, limited to what they need to care for your child safely
- Service providers who operate our systems (for example, our website host and form provider, Netlify, and our email provider)
- Emergency services or medical professionals, if a child's health or safety requires it
- Authorities, where we are legally required to do so
Some providers may store data outside Canada, which means it can be subject to the laws of that country. We choose providers with appropriate safeguards.
How long we keep it
Enquiries that don't lead to a booking are kept for up to 24 months, in case you come back to us. Booking records, signed waivers, and child profiles are kept as long as needed to meet our insurance and legal obligations, then securely deleted. You can ask us to delete your information sooner and we will, unless we're legally required to keep it.
How we protect it
Access to child profiles is limited to the staff who need it for a specific event. Information is transmitted over encrypted connections, and physical documents are kept secured and destroyed when no longer needed.
Your rights
Under PIPEDA you can:
- Ask what personal information we hold about you and your child
- Ask us to correct anything inaccurate
- Withdraw consent, including photography consent, at any time
- Ask us to delete your information, subject to our legal obligations
- Complain to us, and escalate to the Privacy Commissioner of Canada

Changes to this policy
If we change how we handle personal information, we will update this page and change the date at the top. Material changes affecting an active booking will be communicated to you directly.
